A four-day booking with a published close
The Gas Machinery Conference runs October 4 to 7, 2026 at the Indiana Convention Center. The venue forecasts 900 attendees. The organiser, the Gas Machinery Research Council, publishes 1,100 attendees expected, 100 or more exhibitors, and 80 or more short courses, technical papers and technology updates across four days. Its sponsorship page reaches 900 or more attendees, its exhibitor copy says over 1,000 attendees walk the hall, and its call for abstracts addresses 1,200 or more industry peers. Each line measures a separate thing, and each belongs with its publisher.
Three blocks, and one is still open
The host hotel is the JW Marriott at 10 S West Street. Its official room block has closed. The Embassy Suites by Hilton Indianapolis Downtown at 110 W Washington Street has closed its courtesy block. The Fairfield Inn & Suites at 501 W Washington Street holds a courtesy block that is open at $179 plus tax per night, bookable before September 25. That is the only block a late booker can still join.
The block reservation policy carries a valid credit card guarantee, cancellation or modification without penalty up to 48 hours before arrival, and a charge equal to one night plus taxes and fees inside that window.
The block terms sit inside the exhibitor contract
The organiser asks sponsors and exhibitors to reserve at the headquarters hotel through the official block link, to secure the reservation during registration, and to release unused rooms at least 30 days before the conference starts. It states that reservations made at the headquarters hotel or an overflow property outside the block link may not count toward block participation. It adds that GMRC may review sponsorship benefits and future event participation on a case-by-case basis where the requirements are not met. For a vendor, the block is part of the exhibiting terms.
Six rooms run at once
The technical programme runs six concurrent rooms in every paper block: 120/121, 122/123, 124, 125/126, 127/128 and Wabash 1. Monday carries three blocks, from 1:15 p.m. Tuesday carries two, from 2:30 p.m. Wednesday runs mini short courses in the same six rooms from 8:15 a.m. A delegate picks a track on the first morning and stays with it. The room list needs sorting by track before arrival.
Two buildings split the programme
The Convention Center carries the technical track in Wabash 1, Wabash 2-3, the Wabash West Foyer and rooms 120 through 128. The JW Marriott carries the opening reception in White River A-E, the Monday kick-off keynote and luncheon in the White River Ballroom, the Tuesday breakfast and the Wednesday annual membership meeting in rooms 103 and 4. Monday breakfast is published in Wabash 2-3 at the Convention Center. Tuesday breakfast is in White River A-E at the hotel. The Tuesday evening function runs 6 p.m. to 8 p.m. at the Indiana Roof Ballroom, 140 W Washington St.
Two buildings sit under one delegate badge, so the housekeeping and transport plan belongs in the group contract.
The exhibit floor clock
The published floor windows begin Tuesday at 11 a.m. and run through a reception in Exhibit Hall A-B from 4:45 p.m. to 6:30 p.m. Wednesday opens with breakfast with exhibitors in the hall from 7 a.m. to 8 a.m. and carries an exhibit hall lunch from 11:30 a.m. to 1 p.m. The organiser states that exhibitors must remain fully set up until the official exhibit hall closing time and may only start teardown in the designated move-out period. Neither the agenda nor the event page publishes that closing time. The move-in and teardown schedule sits in the Freeman exhibitor kit.
The same week carries a second conference
The venue calendar lists 12 events from September 22 to October 15. The ISBA and IAPSS annual conference runs October 5 to 6, inside the Gas Machinery week and across the same downtown stock. The three days before carry the MAPP Benchmarking and Best Practices Conference and both Association of Talent Development conferences, all September 29 to October 1. The two days after carry the FullScale Symposium and the American Dental Association Scientific Sessions, both October 8 to 10. Quote October against that calendar.
Where the account sits in the organiser record
The organiser publishes its conference cities. 2026 is Indianapolis. 2027 is Oklahoma City. Past editions run 2025 Louisville, 2024 Houston, 2023 Phoenix, 2022 Fort Worth, 2021 Louisville, 2020 virtual, 2019 San Antonio, 2018 Kansas City, 2017 Pittsburgh and 2016 Denver. The conference runs each autumn and moves city, so the room commitment is a one-cycle booking with a published end date. The exhibitor and sponsor base repeats from city to city, and the organiser's terms tie that base to the block.
Servicing a technical delegation
The venue facility guide states that rooms are refreshed once daily and that the client may not move furniture in the room. Setup labour is Teamsters Local 135, and it carries a four-hour minimum charge. A property holding this delegation should contract any set change as a scheduled order.
Shipment routing belongs in the group contract. Advance freight for the show goes to the warehouse at 4960 Decatur Blvd, care of SAIA or Freeman. Event-site freight goes to the Indiana Convention Center, 100 S Capitol Ave, care of Freeman. The venue accepts no freight shipments, so packages route to its in-house Ricoh Business Center. Dock guards are required during move-in and move-out on a four-hour minimum, drawn from the venue's pre-qualified security list.
Booth rates are published by size and membership: 10 by 10 at $1,950 for members and $2,950 for non-members, 10 by 20 at $3,900 and $5,900, and 20 by 20 at $7,800 and $11,800. Registration runs $950 for members, $1,150 for non-members, $450 for guests and $475 for students, with $200 added on site.
