Eight nights on the venue calendar
USA Track & Field holds eight nights at the Oregon Convention Center and sells four. The venue calendars the annual meeting from 29 November to 7 December 2026, in the Oregon Ballroom, and stamps the hold from 06:00 on the first date to 23:59 on the last.
The record carries the event name, the room and the venue's standard visitor copy. The description field reads "[Add brief event description]". The times field reads "Public event / Private event / Trade Only", all three options left standing.
The meeting is the last entry on the venue's November calendar. The entry before it closed on 21 November.
Four days on the organiser page
USATF runs the meeting from 3 to 6 December, 8:00 a.m. to 5:00 p.m. The programme opens on a Thursday and closes on a Sunday morning.
Four clocks set the stay. Credentials are collected at the Convention Center from Wednesday afternoon, 2 December, with hours still marked coming soon. The Opening Session starts Thursday at 5:00 p.m. The Awards Breakfast runs 6:30 a.m. Saturday. The Closing Session starts Sunday at 8:00 a.m.
A delegate who wants a credential before Thursday morning arrives on the Wednesday. A delegate at the Saturday breakfast sleeps in the room on Friday night. A delegate at the Sunday closing session sleeps in the room on Saturday night. Those three lines set four room nights: 2, 3, 4 and 5 December.
Four held nights carry no delegate
The hold runs eight nights. The delegate programme fills four.
Three spare nights fall before the credential window, on 29 and 30 November and 1 December. One falls after the Closing Session, on the night of 6 December.
A revenue manager reading the venue calendar gets a date span and a room name. The room nights arrive only after the organiser's clocks and the credential window lie over that span.
Four figures the block leaves blank
USATF publishes two property names and the word discounted: the Hyatt Regency Portland at the Convention Center and the DoubleTree by Hilton Portland. The rate, the room count, the cut-off date and the release term stay off the event page and off the FAQ.
A property desk holding the block can model none of the four from public pages. Neither page carries an attendance forecast or a delegate count.
The overflow channel has a name
USATF answers the sold-out question with a wait list. The travel department starts the list and maintains it. Overflow options go onto the JTeam Management hotel booking site if the block fills.
A property outside the two named blocks has that route written into USATF's own answer.
Shoulder nights carry no block protection
The FAQ allows nights before the meeting and after it, subject to hotel availability. It states that every additional night is the attendee's own financial responsibility.
Those nights arrive through the same confirmation link with no published cap and no published rate. For a property, the four core nights are the block. The 1 December and 6 December nights arrive as individual requests.
The registration condition cancels rooms
The organiser cancels a block room that sits behind an incomplete registration. The booking link reaches the delegate inside the registration confirmation email or receipt, and the FAQ repeats that route in one line.
Ask for that receipt at the point of booking. The receipt is the only proof the block stands.
Luggage goes into storage on Sunday
The venue holds luggage on Sunday during the Closing Session for delegates leaving straight to PDX. USATF runs no transport from the hotels to the hall and none from PDX to the hotels.
A delegate on a Sunday flight checks out and leaves the bag at the hall.
What the desk writes on the block sheet
Post the two property names where the reservations team can see them for the week of 2 December. Hold the night of 5 December as the last room night, because the Closing Session opens at 8:00 a.m. the next morning.
Quote the 1 December and 6 December nights on request. USATF permits both sides of the meeting and publishes no ceiling on either.
The venue calendar gives the date span. The organiser pages give the room nights.
